5-4 months prior to departure

Enrollment and payment deadlines
EF must receive the following by 110 days prior to departure:
  • All enrollments for paying and free-place travelers

  • Tour balance from any travelers who opted out of EF’s monthly payment plan. Those who did not opt out have until 35 days prior to departure to pay for their tour in full. Departure fees will be finalized and due at 50 days prior to departure.


Final group size
Let your tour consultant know the final number of travelers (including free places) who will be traveling with you on tour. This is important in order for EF to finalize your tour group.

Group Status Report
Confirm name spellings and insurance preference by reviewing the Group Status Report with your tour consultant.

Payment plans
Make sure that your students understand all of the payment plans available to them. For any travelers who have opted out of EF’s monthly payment plan, the final tour payment is due by 110 days prior to departure. Please remind your students that this is the last chance for them to take advantage of EF’s monthly payment plan and to extend their final payment deadline to 35 days prior to departure.

Payment options
For those travelers who have opted out of EF’s monthly payment plan, payments can be made in the following three ways:
  • Credit card: EF accepts Visa®, MasterCard® and American Express® for all tour expenses. Credit card payments should be made online. Payments can also be made by phone or fax.

  • Personal check: All checks must be attached to the remittance slip on the bottom of each traveler’s invoice. The check should include the tour and individual account numbers written in the memo section and should be made out to EF Educational Tours. Mail checks to:

  • Group check: If you are coordinating payments for the whole group using one check, please use a group check form. This ensures that all payments will be posted correctly to the relevant accounts.


Enrollment and payment deadline:110 days prior to departure
Make sure that all of your travelers and potential travelers are aware of the enrollment and payment deadline of 110 days prior to departure. Once that date passes, the following rules apply:
  • Late enrollments: Enrollment forms received after 110 days prior to departure are late and will be placed on a waiting list while we check available airline and bus space. Please note that late enrollees may be booked on a separate flight itinerary from the group. Full payment and a $125 late enrollment fee must be made by credit card or sent by overnight mail in the form of a certified check or money order issued to EF Institute Trust Account. If we are unable to place the late enrollee on a tour, he or she will receive a full refund for all monies paid, including the $95 Enrollment Fee and the $125 late fee.

  • Late payments: Payments made after 110 days prior to departure are late. After this point, payments must be made by credit card, certified check or money order, and are subject to a non-refundable $125 late fee. Personal checks are not accepted. Send late payments via overnight mail to:
